Offline CRM for field sales: offline-first, sync and conflicts

Field visits happen where the signal is weakest. An app that needs the network to save a report will lose the report.

In short

An offline CRM for field sales lets reps record visits, orders and notes without a network connection, stores them on the device and sends them automatically, without duplicates, when the connection returns.

Test it in a real dead zone, force a conflict, and check what is still pending.

What is an offline CRM?

An offline CRM for field sales is a customer management app that lets reps read accounts and record visits, orders and notes without a network connection, saves the work on the device, and synchronises it with the server when the connection returns, without loss or duplicates.

“Offline-first” means the app is designed to work without the network and treats the connection as a bonus. Many apps only cache what was last displayed: they can show an account but not save a new order. The difference only shows up in a basement.

What must work offline

  • Reading the accounts of the day, contacts, last orders and open promises;
  • Recording a visit report, an order, an audit, notes and photos;
  • Showing what is pending, so the rep knows what has not reached the office;
  • Sending automatically when the network returns, without the rep having to think about it.

Sync and conflicts

When work is saved in several places, it has to be reconciled. These are the situations to plan for:

SituationRiskSensible rule
Two people edit the same contact offlineOne change overwrites the otherKeep both and flag the conflict, or merge field by field
An order is sent twice when signal flickersDuplicate orderEach record carries a unique identifier created on the device
A visit report is saved on a phone that is then lostLost workSend as soon as the network returns and show what is still pending
Prices change while a rep is offlineOrder at an outdated priceShow the date of the last price update; check on sync
An account is reassigned while a rep is offlineRep keeps working an account no longer theirsApply access rules on the server at sync

Testing an offline CRM in six steps

  1. List the offline tasks. Visit report, order, audit, notes, photos: what must work with no signal.
  2. Test in a real dead zone. A basement, a large store, a rural road, with the phone in flight mode.
  3. Check what is pending. The app must show what has not been sent yet.
  4. Force a conflict. Edit the same record on two devices offline and see what happens.
  5. Check duplicates. Send the same order on a flickering connection: it must arrive once.
  6. Check access on sync. Reassign an account while offline and confirm the server applies the rule.

Security on the device

Data stored on a phone travels with it. Ask what is stored, for how long, and what happens when a user leaves or a phone is lost. Access rules must be enforced by the server, not only by the app's screens, so that a rep cannot see another rep's accounts even with a modified app.

What SalesIro brings

The features relevant to this page, all taken from the public feature list (59 features, 3 of them marked “to be activated”):

  • Offline mode: reports, orders and audits saved on the device, sent when the network returns;
  • Offline order taking: the basket filled during the visit, sent without duplicates;
  • Guided client audit: a checklist that works in the store;
  • Real-time updates: what a colleague changes appears without reloading;
  • Database-level isolation: access enforced by the database;
  • Installable app: installed from the browser, with a native Android version.

The same data can be queried from an AI assistant — Claude, ChatGPT, Le Chat or Perplexity — through the MCP server for AI assistants, with a key or an OAuth connection. A question such as “which orders were taken offline yesterday and when did they sync?” is answered from your own data, without an export. Every read is written to the access log, and access rules still apply: a rep's assistant only sees that rep's accounts.

The overview is in the complete guide to field sales management software.

Frequently asked questions

What is an offline CRM?

A customer management app that lets users read and record data without a network connection, stores it on the device and synchronises it when the connection returns.

What does offline-first mean?

That the app is designed to work without a network and syncs in the background, rather than needing a connection and only caching what was last shown.

How are sync conflicts handled?

By rules decided in advance: unique identifiers to avoid duplicates, field-level merging or flagged conflicts when two people edit the same record, and access checked by the server.

How do you test whether a CRM really works offline?

Put the phone in flight mode in a real dead zone, record a visit and an order, then reconnect and check that each arrives once and nothing is lost.
