Field sales templates: the documents a sales team needs

A field sales team runs on a handful of documents. Each one is simple; the trouble starts when they are kept apart and the same fact is copied three times.

In short

Field sales templates are the standard documents a field sales team uses to record and plan its work: customer profile, visit report, account plan, territory plan, weekly report, meeting agenda and commission statement.

Each has one scope and one owner; together they should share the same data, so that what is recorded in a visit updates the rest.

What are field sales templates?

Field sales templates are the standard documents a field sales team uses to record and plan its work — the customer profile, the visit report, the account plan, the territory plan, the weekly report, the meeting agenda and the commission statement — each with a fixed set of fields so that everyone fills it in the same way.

A shared template is not bureaucracy. It is what lets a manager compare two visits, a new rep take over a territory, and an agent check a commission. Without one, each person keeps their own notes and nothing adds up.

How the documents connect

The documents form a chain. The customer profile holds the facts about an account. Each visit report adds what was learned and promised, and updates the profile. The account plan and the territory plan set the year; the weekly report reads the week against them; the sales meeting reads the weekly reports and decides. The commission statement is computed from the orders or invoices already recorded, never typed again.

The rule that follows: a fact is written once, in the document that owns it. A contract end date belongs in the customer profile, not in a visit report from last spring where nobody will find it.

Setting them up in six steps

  1. Start with the customer profile. Every other document refers to an account; the profile is where its facts live.
  2. Fix the visit report. Eight fields, filled in after each visit, ending with a dated next action.
  3. Plan the year. One territory plan per rep, and an account plan for each key account.
  4. Report on a fixed rhythm. The weekly report is built from the visit reports, not rewritten from memory.
  5. Meet with an agenda. The sales meeting reads the weekly reports and ends with owners and dates.
  6. Pay from the same data. The commission statement uses the orders or invoices already recorded.

Spreadsheet or tool

Every template here works in a spreadsheet or a word processor. This compares categories of tools, not products.

Common mistakes

  • One template per rep. If everyone adapts the template, nothing can be compared.
  • The same fact in three places. The copies drift apart at the first change.
  • Templates nobody reads. A field that no one uses in a decision should be removed.
  • Reports written from memory. The weekly report should be built from the visit reports.
  • A commission computed outside the sales data. It cannot be checked, so it gets disputed.

What SalesIro brings

The features that fill in or replace these templates, all taken from the public feature list (59 features, 3 of them marked “to be activated”):

  • Trade-specific fields and Dated notes and attachments: the customer profile, kept current;
  • Dictated visit report and Tracked promises: the visit report and its dated promises;
  • Annual and per-account targets and Growth plan: account plans and targets;
  • Visit frequency and Territory coverage: the territory plan in figures;
  • Management console and Performance and ranking: weekly figures without retyping;
  • Commission rules per agent and Co-signed statements: statements checked and signed.

The same data can be queried from an AI assistant — Claude, ChatGPT, Le Chat or Perplexity — through the MCP server for AI assistants, with a key or an OAuth connection. A question such as “which visit reports from this week have no next action?” is answered from your own data, without an export. Every read is written to the access log, and access rules still apply: a rep's assistant only sees that rep's accounts.

Frequently asked questions

What templates does a field sales team need?

Usually seven: a customer profile, a visit report, an account plan for key accounts, a territory plan, a weekly report, a meeting agenda and, where commission is paid, a commission statement.

Should every rep use the same templates?

Yes. A shared template is what makes visits, weeks and territories comparable, and lets someone else take over a portfolio without starting again.

Can these templates be kept in a spreadsheet?

They can. The limits appear when the documents must stay in step: in separate files, the same fact is copied by hand and the copies drift apart.

Which template should a team start with?

The customer profile and the visit report. Every other document refers to an account and draws on what was recorded during visits.
