A commission statement is the document that shows a rep or agent, for one period, every sale counted, the base, the rate applied, any adjustment and the commission due.
Each line must be checkable; adjustments go on their own lines; the statement is accepted before it is paid.
What a commission statement is for
A commission statement is the periodic document that lists, for one salesperson or agent, each sale included in the commission base, the adjustments, the rates applied and the resulting amount due, in enough detail for them to check every line.
The template is the same for an employed rep and an independent agent; what differs is the contract behind it. Rules on commission differ from one country to another, and an agent's contract usually says what the statement must contain and when it is due. This page describes a general layout, not a legal requirement.
The complete set Field sales templates: how the documents connectThe template, field by field
Copy the fields below in this order: the first column becomes the heading, the second says what goes in it, the third why the field exists. Remove a field you have no use for; add one your business needs.
| Field | What to write | Why |
|---|---|---|
| Header | Rep or agent, period, contract reference, date issued | Identify the statement without ambiguity |
| Commission base | Order, invoice or payment received, as the contract says | Settle which sales count before any rate |
| Sales lines | For each sale: reference, account, date, amount | Let the person paid check each sale |
| Adjustments | Credit notes, cancellations, shared deals, each on its own line | Make every deduction visible |
| Base for the period | Sales minus adjustments | The amount the rates apply to |
| Rates | Rate up to target, rate above target, rate per range if any | Show how the commission is computed |
| Commission due | Amount per rate band, then total | The figure to pay |
| Advances and balance | Advances already paid, balance due | Avoid paying twice |
| Acceptance | Accepted, or line disputed with the reason | Close the period with a record |
A filled example
| Line | Detail | Amount |
|---|---|---|
| INV-1041 | Account 1, invoice | €8,000 |
| INV-1047 | Account 2, invoice | €5,500 |
| INV-1052 | Account 3, invoice | €3,000 |
| Credit note | Account 2, returned goods | −€500 |
| Base for the period | €16,500 − €500 | €16,000 |
| Up to target | €15,000 × 7 per cent | €1,050 |
| Above target | €1,000 × 9 per cent | €90 |
| Commission due | €1,050 + €90 | €1,140 |
| Advance already paid | Paid during the period | −€500 |
| Balance due | €1,140 − €500 | €640 |
Invoice basis, one month, fictional agent. The base, rates and target come from the agent's contract; the figures are not a standard. All data in this example is fictional.
How to use it
- Write the rules first. Base, rates, target, rate above target, timing: from the contract, before any statement.
- Import the sales. Orders or invoices of the period, attached to accounts and to the rep or agent.
- Enter adjustments as lines. Credit notes, cancellations and shared deals, each with its reference.
- Compute band by band. Apply each rate to its band and show the multiplication on the statement.
- Send for acceptance. The rep or agent accepts the statement or disputes a line with a reason.
- Pay and keep. Pay the accepted balance and keep the statement with its lines.
Common mistakes
- A total with no lines. A single figure cannot be checked, so it gets disputed.
- Netted adjustments. A credit note hidden inside a line looks like an error.
- The wrong base. Paying on orders when the contract says invoices, or the reverse.
- Rates applied to the whole base. A higher rate above target applies only above target.
- Paying before acceptance. A disputed line is easier to fix before payment than after.
Spreadsheet or tool
The template works in both. This compares categories of tools, not products: any given product may differ from these general tendencies.
| Aspect | Spreadsheet or document | Field sales tool |
|---|---|---|
| Sales lines | Pasted from an export each period | Read from recorded orders or imported invoices |
| Rates and bands | Formulas per agent, easy to break | Rules stored per rep or agent |
| Adjustments | Edited by hand in the sheet | Separate lines with their reference |
| Acceptance | Email exchanges | Accepted or disputed line by line in the tool |
| History | One file per period | Every statement kept with its lines |
What SalesIro brings
The features that fill in or replace this template, all taken from the public feature list (59 features, 3 of them marked “to be activated”):
- Commission rules per agent: base rate, target, rate above target, rate per range;
- Choice of commission base: on signature, on invoice or on payment received, via invoice import;
- Co-signed statements: every line itemised, the agent signs or disputes it in the tool;
- File import: invoices imported from Excel or CSV;
- Agency contracts: territory, ranges and terms of each agent's contract;
- Agent record: the agent's details and documents in one record.
The same data can be queried from an AI assistant — Claude, ChatGPT, Le Chat or Perplexity — through the MCP server for AI assistants, with a key or an OAuth connection. A question such as “which commission statements for last month are still disputed, and on which lines?” is answered from your own data, without an export. Every read is written to the access log, and access rules still apply: a rep's assistant only sees that rep's accounts.

Frequently asked questions
What should a commission statement include?
The period, the commission base, each sale with its reference and amount, adjustments on separate lines, the rates applied band by band, the commission due, advances and the balance.
Is the statement different for an employee and an agent?
The layout can be the same. What differs is the contract behind it, and rules on commission differ from one country to another.
How are credit notes shown on a commission statement?
On their own line, with the reference of the sale they relate to, so that the person paid can see what was deducted and why.
How do you avoid commission disputes?
Agree the base and the timing in writing, show every line, and have the statement accepted before paying it.
Statements checked before they are paid
In SalesIro, commission rules are stored per agent, each statement line is itemised, and the agent signs or disputes it in the tool.
